Getting Started for Users
This page is for people who work in the catalogue: find titles, fix metadata, check Supply, and send updates. If you set up the install, create users, or load the first ONIX file, use Getting started for administrators.
Your administrator gives you the login URL, your email, and a temporary password.
Signing in
- Open the OnixFeed URL from your welcome email.
- Enter your Email and Password.
- Click Sign In.
If you forget your password, contact your administrator. There is no self-service reset.
After you sign in you land on the Dashboard.
The Dashboard
The dashboard summarises the catalogue you can see - the publishers assigned to you.
At the top you will typically see Total Books, Variant Groups, Languages, and This Month. Charts below show monthly additions, language distribution, and top publishers.
If those counts are zero, the catalogue may not be loaded yet. That is an administrator task. See First session.
Quick actions (up to four) depend on what you are allowed to do. Common ones: View All Books, Add New Book, Import Books, Export Data, Help & Support.
Use the sidebar for day-to-day work. Most people spend their time in Books.
What you can see
Your administrator assigns scopes (what the menu includes) and one or more publishers (which titles you see). You only see books for those publishers - not other imprints on the same install.
A typical publisher login can read and edit the catalogue and import ONIX, without hub admin tools such as Users or Store collections. The sidebar only shows items you can use. Scope names are listed in Your access.
If you have two different login URLs, those are two OnixFeeds.
Navigation
What appears depends on your scopes. A publisher user often sees:
| Sidebar item | What it is for |
|---|---|
| Dashboard | Catalogue summary |
| ONIX Feeds → Outbound | Generate ONIX XML for partners |
| ONIX Feeds → Inbound | Pull partner ONIX into the catalogue |
| Books | Search, add, and edit titles |
| Publishers | Imprint names and Transfer books |
| Contributors | Authors, illustrators, and other people |
| Content | ONIX text content across titles |
| PDF templates | Flyer and catalog PDF configs |
| Supply | Inventory and supply CSV tools |
| Rights Management | Territory and format profiles |
| Catalogue Management | Series and custom subjects |
| Reviews | Review quotes |
| Help | This documentation |
A publisher switcher appears when more than one publisher is assigned to you. Use it if titles seem to be missing - they may sit under another assigned name. See Publishers.
First session
You do not need to fill every optional field on day one.
If titles are already there
- Open Books and confirm you can find your titles (use the publisher switcher if needed).
- Open a priority title. Check title, ISBN-13, cover, language, description, and contributors.
- Open the Supply tab and check price and availability for the markets you trade (for example South Africa / ZAR).
- Click Save Changes, then Validate. Run schema, PASA, and store readiness on a few priority titles.
- Decide how you will send future updates: edit in Books, ask your administrator to load a spreadsheet, or import ONIX.
If Books is empty
You are not missing a filter. Ask your administrator whether the catalogue is still being loaded.
When they say you can start:
- Add a single title in Books if you are entering metadata by hand, or
- Use Import ONIX if you have Run ONIX import and a file ready - see Import and export.
Then pick a few priority titles and follow the checklist above (Supply, Validate).
Deeper feed settings and shop tools can wait until the records look right.
